Terms and Conditions for Sponsors, Exhibitors and Advertisers

  1. All fees must be paid in full within 10 days of booking. All money transfer charges are to be met by senders.
  2. Bookings made after 31 July 2008 shall be charged an extra 20%.
  3. Cancellations made before 10 April 2008 shall incur a 25% administration charge (minimum £125).
  4. Cancellations made between 10 April and 10 June 2008 shall incur a 40% administration charge (minimum £175).
  5. Cancellations made after 10 June 2008 shall incur an 80% administration charge (minimum £225). We regret that we are unable to refund after 31 July 2008.
  6. Personal information provided by participants will be held in our database and may be used by Library Publishing Media to advertise its products. Occasionally, these information may also be shared with interested third parties for marketing. If you do not wish to disclose your details to third parties please provide a written statement at the time of registration/booking.
  7. In the unlikely event of the change of the conference dates for any reasons beyond our control, should a sponsor/exhibitor wish to withdraw from the conference, the maximum liability to us shall be limited to 75% refund of conference registration fee paid at the time of booking, with no additional liability whatsoever to the conference organisers and hosts, Library Publishing Media or any individuals affiliated with the conference or Library Publishing Media in any capacity. We may deduct any additional bank transfer fees associated with the refund.
  8. In the unlikely event of cancellation of the conference (also see Clause 9 below), the maximum liability shall be limited to full refund of conference registration fee paid at the time of booking, with no additional liability whatsoever to the conference organisers and hosts, Library Publishing Media or any individuals affiliated with the conference or Library Publishing Media in any capacity. We may deduct any additional bank transfer fees associated with the refund.
  9. If the cancellation of the conference is caused by a natural disaster, a disease epidemic or pandemic, war or act of terrorism, the maximum liability to us shall be limited to a maximum of 75% refund of registration fee paid at the time of booking, with no additional liability whatsoever to the conference organisers and hosts, Library Publishing Media or any individuals affiliated with the conference or Library Publishing Media in any capacity. We may deduct any additional bank transfer fees associated with the refund.
  10. Should there be a change in the conference venue for any reasons, for example to accommodate the participants’ number, all participants will be notified well in advance. However, there will be no liability whatsoever to the conference organisers and hosts, Library Publishing Media or any individuals affiliated with the conference or Library Publishing Media in any capacity.
  11. If in the unlikely event, for reasons beyond our control, that we are unable to provide a listed sponsorship or exhibition deal, service, facility or arrangement, the maximum liability shall be limited to proportional refund of the package sponsorship or exhibition fee paid at the time of booking, with no additional liability whatsoever to the conference organisers and hosts, Library Publishing Media or any individuals affiliated with the conference or Library Publishing Media in any capacity. We may deduct any additional bank transfer fees associated with the refund.
  12. No refund will be given for services that have been provided already, such as a weblink or an advertisement on the conference website.
  13. Exhibitors, sponsors and advertisers are responsible for setting up their exhibitions and for providing us the agreed advertisement information.
  14. Exhibitors, sponsors and advertisers are responsible for the correctness of information they provide us.
  15. Conference participants are responsible taking appropriate insurance cover in connection with their attendance at the conference. The conference organisers and hosts, Library Publishing Media or any individuals associated with the conference or Library Publishing Media in any capacity shall not be liable for any kind of loss or damage to personal property, delegates or exhibitors, unless proven beyond doubt to be caused by our negligence.
  16. Conference participants shall be responsible for compensating any loss should they cause damage to the host’s property or the venue.
  17. The conference organisers and hosts, Library Publishing Media or any individuals associated with the conference or Library Publishing Media make no representation or warranty of gain of business or profits as a result of use of services or information provided in connection with the conference and shall not be liable for any direct or indirect damages, loss of business, employment, profits or anticipated savings resulting from the use of the services or information provided in connection with the conference, in any country or court of law.
  18. The conference organisers and hosts, Library Publishing Media or any individuals associated with the conference or Library Publishing Media shall not be liable, in any country or court of law, for infringement of third party rights by a conference delegate, exhibitor or sponsor.
  19. The conference website and that of Library Publishing Media contains links to a number of other websites, provided for the convenience of the users. The contents of these websites are maintained by their owners, for which we take no responsibility, neither providing a link on our website means that we necessarily agree to their contents, nor we are responsible for contents of any website linking to this website.
  20. We have the right to accept or reject a registration application without giving reasons and our decision shall be final.
  21. We have the right to accept or reject a sponsorship deal or advertisement without giving reasons and our decision shall be final. We also reserve the right to reject a previously accepted application without giving reasons and our decision shall be final.
  22. You are also advised to consult Terms and Conditions for conference delegates and visitors.
  23. We reserve the right to change the Terms and Conditions and contents of this document at any time without prior notice.
